Field-by-field Help

Image Type

Describe the image above. To do this, click in the Image Type field, and then click the down arrow at the right side of the field. Select an option from the list.

If the image is normal and has information to be indexed, select Normal. Then press Tab or Enter.

If the image is blank, an exact duplicate of another image, or unreadable, select the corresponding option from the list. If the data on the image does not match the indexing form, if the image is the second page of a two-page tax record, or if the only entry in the Owners column for the entire image is the word unknown, select No Extractable Data Image. Press Tab or Enter, and, on the warning message, click Yes. Continue to the next image. If this is the last image, submit the batch.

Type the surname of the owner. If the document in the image includes the names of original grantees as well as owners, be sure to index the names of the owners, not the original grantees.

Do not include punctuation, except hyphens and apostrophes when they were written on the document as part of the name. Do not include titles or terms with the surname, such as Sr, Jr, Mr, Mrs, or Widow. Do not expand abbreviations.

Some names may have ditto marks or other signs of repetition following them. You only need to index each complete name one time. Then skip over the ditto marks to the next name. Do not index a line with ditto marks on it.

If the surname was not recorded or was written as a variation of the word unknown, do not mark the Surname field as blank, unless a given name was also recorded. Simply continue to the next recorded name and enter it in the data-entry area. If the word unknown is the only entry in the Owners column for the entire image, mark the image as No Extractable Data Image.


Owner's Given Names

Type the given names of the owner. If the document in the image includes the names of original grantees as well as owners, be sure to index the names of the owners, not the original grantees.

If a title or term was abbreviated, type it as it was written on the document. Do not type a period after the abbreviation.

If titles or terms were not recorded, press Tab to skip this field.
