Why don’t my file names match my setup in Record Exchange?

In Record Exchange, downloaded file names may be modified based on available data.

Data is not available for the field you selected

If a field is empty, it might not apply to the record being downloaded, or the data simply may not be available in our system. Empty fields will be omitted from the file name.

If all the fields you selected are empty, the folder will be named with an underscore, followed by the image group number. For example, if the image group number was 12345, the folder would be named _12345.

Two folders have the same name

If the file name you set up does not include a field for the image group number, the file name might not be unique. In these cases, a numeral in parentheses will be used to differentiate the files.

For example, if two files are named “Paris_Birth-Records_1900,” one of the files may be changed to “Paris_Birth-Records_1900 (2).”

The file name is too long

Using multiple fields in your setup could result in long file names. If the file name exceeds the limit set by your operating system, file names may be shortened by removing characters from the end of the file name.
