Project-Specific Indexing Instructions

Characteristics of This Project

  • All records are registers of enlistment in the U.S. Army from 1798 to 1913.
  • The registers are handwritten on handwritten or printed forms, but the location of information on the forms varies over time.
  • Each batch includes one image, and each image has 40 entry lines.

Description of the Records

  • The records were handwritten on preprinted forms.
  • Each image has 40 entry lines.



Account for Every Record on the Register 

  • The data entry area is set at 40 entry lines; however, some registers may have more or less than 40 records.
  • If a numbered line on the register has been left blank, then enter the corresponding line number in the Line Number field in the data entry area, and mark the remainder of the fields in that line as blank. To mark a field as blank, press Ctrl+B, or do the following:
  1. On the menu bar, click Edit.
  2. Click Mark Field or Record.
  3. Click Mark Record Blank.
  • If there are fewer than 40 records on a register and you have entered information for each record on the register, then mark all remaining entry lines as blank in the data entry area. To mark an entry line as blank, press Ctrl+Shift+B, or do the following:
  1. On the menu bar, click Edit.
  2. Click Mark Field or Record.
  3. Click Mark Record Blank.
  • If the register has more than 40 records, then add records in the data entry area to match the number of records on your image. To add records:
  1. On the menu bar, click Tools.
  2. Click Records per Image....
  3. Click in the Number of records box, and type the number of records on the register.
  4. Click OK.
  • If you press Tab or Enter after you complete the last record on the register, a message will appear asking if you want to add one or more records to the image. If you have already indexed all the records on the image, do the following:
  1. Ensure that '0' (zero) is in the Number of records box.
  2. Click OK.

Damaged Pages

  • Some records were damaged and are unreadable. When an entry line or part of an entry line is unreadable, mark the record or the field as unreadable, and continue to index the records or fields that are readable.
  • To mark as unreadable, press Ctrl+U, or do the following:
  1. On the menu bar, click Edit.
  2. Click Mark Field or Record.
  3. Click Mark Field Unreadable.
  • To mark an entire line (a record) as unreadable, press Ctrl+Shift+U, or do the following:
  1. On the menu bar, click Edit.
  2. Select Mark Field or Record.
  3. Click Mark Record Unreadable.

Highlights and Using the Ruler

  • Because of the many different forms found in this project, highlights are not available. You may use the ruler instead to follow a record across an image.
  • If you use the ruler, please be aware that the ruler is not anchored to the indexing screen and does not automatically move as you move to a new entry. To use the ruler:
  1. On the menu bar, click View.
  2. Select Show Ruler.

Handwriting Helps

  • Many of these records are handwritten. The handwriting help on the data entry screen may help you decipher the handwriting.
  • To access this help, on the toolbar just above the data entry area, click on the Handwriting Help icon (which looks like an inkwell with an orange feather quill).
