After finding an appropriate image that you want to add to the Wiki there are two possible routes to do this:

  1. with prior approval of the image (as described in Help:Submitting images for approval), or
  2. without prior approval of the image (as described in this article).

Experienced contributors who have been granted the right may upload as follows:

Rights to Upload Files

The Reviewer role in the FamilySearch Research Wiki has the ability to upload images and files without going through the approval process. If you are not a Reviewer, these steps won't work for you - you will need to submit images for approval.

There are two types of Reviewers:

  1. Reviewers who answer Wiki Support e-mail for FamilySearch (CSMs) can also upload images that wiki contributors submit through the Upload file link in the navigation bar. Click here for the instructions to get started.
  2. Reviewers who are long-term Wiki contributors and are given rights to upload their own images.

Before first uploading an image, you must be familiar with the Image Approval Policies to avoid violating FamilySearch Wiki image policies. Second, you should search for the image you want to add to see if the image already exists in the Wiki.

Steps to Upload Files

To upload images or files (for example, PDF files) directly to the FamilySearch Research Wiki follow these steps:
  1. Under "Toolbox," in the sidebar, click "Special pages."
  2. In the list, scroll down to the heading "Media reports and uploads," and click on the topic "Upload file."
  3. If you are a Reviewer, you will be directed to a page titled Upload File.
  4. Click "Browse" to locate the image or file on your computer.
  5. After clicking on the "Browse" button, a window will open titled "Choose file." Find the file on your computer you want to upload.
    Note: By default, this window will open your "My Pictures" folder on your computer. If the image you want to upload is located in the "My Pictures" folder, scroll down to locate the image, click on the image, and then click the "Open" button at the bottom of the window. [NOTE: If the image or file you want to upload is not located in the "My Pictures" folder, click the dropdown arrow next to the the words "My Pictures" in the box at the top of the page. You will then be able to browse through your computer to locate the image you want to upload by clicking on the image and then clicking the "Open" button.]
  6. After clicking the "Open" button, you will be directed back to the Upload File page in the FamilySearch Research Wiki.
  7. (Optional but recommended:) Change the "Destination Filename" as needed so that the image or file will have the desired title in the Wiki, but DO NOT delete the file extension off of the name. For example, if you are changing the name from Pic123.jpg, you may change the name to Anything.jpg, but the image will not upload if you change the name to Anything. The .jpg or ,png, etc., must be included in the "Destination Filename."
  8. After changing the destination filename (if necessary), type in a "Summary" for the image. Include the author's name when possible. Remember, you must have full rights to the image, or it must be under the Creative Commons license or in the public domain to legally add it to the Wiki.
  9. After typing information in the summary, you are ready to upload the image. Click "Upload file."
  10. Once the file is uploaded, click Edit this page to add the {{Information}} template:

Fill in the template with the following:
  • Description: Description of the content, (historical) background, and in the case of scientific data, a brief scientific analysis of the media file.
  • Source: Use "Own work" for an original media file. Otherwise, provide the website (with both a link to the page embedding the file and a direct link to the file itself), catalog number, name of institution, book source, etc.
  • Date: Date of creation, or date of publication.
  • Author: Author(s) of the image. If no individual person known use the name of the institution(s) that released the file.
  • Permission: Short description of the permission for use granted by the copyright holder. In the case of general permission (e.g. Public Domain), simply describe the media file's copyright status. Note that the media file must still be tagged with the appropriate license template!

Set up your computer

  1. Create a folder on your computer called Wiki Image Approval
  2. Create a document in your word processor with the e-mail template below and save it as the Image Approval Letter

Work on an E-mail

Part 1 - Save a contributor's image to upload
  1. Open the Image Approval Letter document
  2. In Amdocs, go to the Wiki Image/Doc Approval queue
  3. Select a case to work on and click Accept Case
  4. Right click on the email from the user and copy the email and paste it at the bottom of your letter
  5. Move the Name and the Title from the Amdocs email up into the letter
  6. Go back to the Amdocs case
  7. Click on the Attachments tab
  8. Double-click on the filename to open the image
  9. Save the image to your computer to a folder you've created just for Wiki Image Approvals. :::(Note: This will show differently on different computers. You may need to click File and Save or Make a Copy, or something similar.)
  10. Go to the Wiki home page and sign in. Then follow the steps as outlined above.
Part 2 - Upload the image
  • On Step 7, use the Title sent to you by the contributor if it is descriptive of the image. If it is the file name from a camera or is not descriptive, change the file name accordingly.
  • If the image file size it too large (over 1MB) reduce the image file size.  In most cases, the resolution used for images on the Internet are very acceptable at 72dpi.  The dimensions of the image may need to be changed to fit the wiki presentation frame width which is 650px.  If the dimension is changed, be sure to preserve the aspect ratio to match the original image.
  • At this time, the Email File for Authorization page does NOT ask for the required licensing information needed for images.  Wiki Support personnel, will need to send an email through Amdocs to patrons who submit images to the wiki asking them for the license information.
  • Refer to the Licensing field on the Special Upload file page for the various types of licenses that are acceptable for use on the wiki.
  • Many images are licensed under Creative Commons Licenses.  The various license descriptions are found on the Creative Commons site.  If a patron decides to use a Creative Commons license for their own photo or other images, the Creative Commons "Choose A License" page will help them make a choice.
  • There are other types of public licensing of images and files that patrons can use when publishing them on the wiki.  Refer to the types in the list on the Licensing field as noted above.
  • When the image is named and sized for use on the wiki, it may be uploaded along with the required licensing information using the Special Upload file page.
Part 3 - Respond to the contributor
  1. Copy the URL of the newly uploaded image and copy it into the letter template below in the space to the right of the Image Link.
  2. Go back to Amdocs. Click Send Email to send the email to the patron. Copy and paste the email you've put together into that screen.
  3. Send the email and close the case.
  4. If there are problems with the image, get back to the contributor and let them know, and see if they can send you another version.

Email Template for submissions missing information

When you upload images in the future, please include the following information:

1. The exact location (city/county/state/province/country) of where the image 
was taken OR the page that the image will be included on so that it can be 
categorized correctly
2. Author - who took/created the image, or, if the image is from Wikipedia 
Commons, the link of the original image
3. Source - where the image is from - e.g. a collection or project
